COVID & Vaccination Policies

    Yes, attendees must have received a full dose of a COVID–19 vaccine no later than October 6, 2022.

      We will ask you to bring proof of vaccination with you to check-in at event registration each morning. At the time of check-in, we will ask you to share your vaccination date(s). Medical and religious exemptions will be honored and reasonable accommodations will be provided.

      For this event, we will be using Health Pass by CLEAR, which provides a secure, digital proof of COVID-related health insights via the free CLEAR mobile app. Complete your health screening ahead of time for faster entry at check-in!

      An event code for linking lab results will be shared with registered attendees via email prior to the event. Watch your inbox for emails prior to the event with additional details.

      • Have your QR code readily available at the event check-in.

      We encourage all attendees to complete this process once your event registration and travel are confirmed.

      We recommend all attendees bring their physical vaccination record as a backup for manual check-in onsite. Photo ID may be requested to verify identity.

      Traveling to the D.C. area from outside of the United States?
      For the most part, CLEAR currently validates vaccinations within the U.S. only. If you are coming from Canada and have the Smart Health QR code on your vaccination card you will be able to create an account in Health Pass once you enter the U.S. This applies to Astra Zeneca, Pfizer, Johnson & Johnson, and Moderna vaccines.

        Yes, In addition to requiring proof of vaccination, AIGA will require proof of a negative test (PCR or rapid) taken prior to arrival on-site. We ask that the negative test be taken within 72 hours of the start of the conference.

        As part of our commitment to safety, attendees must provide proof of negative test. AIGA is requiring a negative COVID-19 test to prevent transmission rates when there may be difficulty maintaining recommended social distancing at the on-site venue.

        We encourage all attendees to make arrangements for your COVID–19 test as soon as your registration and travel are confirmed. Some testing locations have limited availability and results time varies. It is your responsibility to select the correct test type and location to get tested in time to receive a valid result.

        We recommend all attendees save their negative test results to their phone or email as a backup for manual check-in onsite. Photo ID may be requested to verify identity.

        Traveling to the D.C. area early and looking for nearby testing locations?
        We ask that the negative test be taken within 72 hours of the start of the conference, so you will want to get tested in the D.C. area within that time window. Here is information on COVID-19 testing from the City of Alexandria, including locations where you can get a test.

        Is at-home testing an option?
        At-home PCR testing that you mail in to get results from a lab are accepted if the test can be taken within 72 hours of the start of the conference.

        Most valid results can be verified by the Health Pass by CLEAR app in time for check-in.

        How do I connect my negative test results to Health Pass by CLEAR?
        Once you’ve been tested and your negative results are available, you will be notified by your your health provider. Your health provider will maintain a record of your lab results. To access your lab results, you may need to create an account with that provider if you don't already have one. Then, you should be able to connect your results.

        How do I locate my health provider?
        You may find that an initial search in Health Pass by CLEAR has limited providers. If the provider you were expecting is not found under nearby testing locations, follow the prompts below:

        There are a series of prompts after Search in Health Pass by CLEAR to confirm if your health provider is connected:

        CLEAR has their own approved provider's list. Not all providers will be available because of this.

          There will be two lines at the Health Desk for check-in onsite. One line for QR Code validation and another for manual validation. Once cleared through the Health Desk line, you may proceed to enter and pick up your name badge at registration.

          Health Pass by CLEAR check-in
          If you are able to connect to the app and securely upload your results, we will scan your QR code to move you through the line quickly.

          Manual health check-in
          If you are not using the app for expedited check-in, we ask that you bring your physical vaccination card and print out/screenshot of your negative test results and present your ID.

          AIGA offers manual check-in as an option to validate proof of vaccination and negative test results.

          Anyone whose test results are not received in time OR are unable to connect their health provider to the app will be directed to the line for manual check-in including: temperature check, and screening questions, photo ID, and proof of vaccination and test results.

          The QR code won't validate without both uploads, so please have your vaccination card or an legible image of your card saved to your phone.

            If you test positive for COVID-19 in advance of your arrival on-site, please do not travel to the event venue. Email aiga_registrar@aiga.org to inform our team, and your registration will be adjusted.

            If you test positive for COVID-19 on-site or fail your Health Desk screening, you will be asked to leave the meeting area. Return to your hotel room and contact your health provider if symptoms develop.

            In either case, a positive test for COVID-19 will result in your full-registration ticket converted to a virtual-only registration. You will still have access to the livestream, virtual networking, and post-event recordings. The price difference between the two registration types will be refunded to you.

              We will ask all attendees to wear masks at check-in, during presentations, and when social distancing isn't possible in-between presentations. Masks are a required element of hotel and event staff uniforms.

                Chairs will be spaced out in the general session. Attendees are encouraged to share their socialization comfort by using our identifying resources.

                  There will be hand sanitizer stations at every elevator landing and throughout the hotel. The hotel practices enhanced cleaning protocols for every space of the hotel; especially for high-traffic spaces and high-touch surfaces.

                          Groups of 4 or more registering together will receive $100 off of each registration. Group discounts do not apply to registrations at our already discounted rates (student, educator, nonprofit, or government). Cancellations of one or more registrations are subject to AIGA’s cancellation policy. Group discounts are available only to groups of four or more. If a cancellation brings the total group size to fewer than four attendees, remaining registrants will be charged at the full registration rate.

                            Through the support of AIGA event speakers, as well as that of its members, AIGA is able to provide professional development credits for individuals in need. Recipients will be selected quarterly by a random drawing conducted by the AIGA national office. Credits may be applied to AIGA membership, events, certificates, or other eligible professional development offerings.

                            This opportunity is available to unemployed and under-employed designers, as well as to those who identify as a member of an underrepresented group. AIGA members and nonmembers are eligible to apply for AIGA Professional Development Credits.

                                Conference rates are based on membership status at the time of registration. Memberships are non-transferable.

                                Design Leadership and Advocacy Conference
                                AIGA will refund 50 percent of conference fees paid for cancellations made before February 20, 2022. In lieu of cancellation, in-person attendees who wish to convert their attendance to a virtual ticket may do so, and the difference will be refunded.

                                After February 20, converted tickets will remain at the same rate as the in-person ticket. No refunds will be made.

                                Due to guarantees AIGA must make to its host venue, no refunds will be available after February 20, one month prior to the event start date.

                                Design Conference
                                AIGA will refund 50 percent of conference fees paid for cancellations made before May 26, 2022, and 20 percent of conference fees paid for cancellations between May 27 and September 8.

                                In lieu of cancellation, in-person attendees who wish to convert their attendance to a virtual ticket may do so. Conversions made before September 8 will incur a $50 administrative fee, and the remainder of the difference will be refunded. After September 8, converted tickets will remain at the same rate as the in-person ticket. No refunds will be made and no fee will be charged.

                                Due to guarantees AIGA must make to its host venue, no refunds will be available after September 8.
